Terms and Conditions

1. Payments

1.1 - All fees must be paid in advance of the next half term start date. Payment dates will be detailed on each invoice. Classes will not commence until full payment has been received. Failure to meet payment dates will result in termination of classes. Any requests for amendments to our standard payment terms must be provided in writing two weeks in advance of initial payment date.  Both parties must agree in writing to any revised payment dates. In the instance that classes commence and the agreed payment date is not adhered to, it will result in the termination of classes.

1.2 - Class fees are set per term, Wren Tuition reserves the right to increase class fees each financial year in line with cost of living and/or inflation. Increases to fees will be communicated by Wren Tuition in writing.

2. Terminating classes

2.1 - 4 weeks notice of termination of classes is required where notice is given by the client.
 The remaining fee for the term is nonrefundable should the client choose terminate classes before the end of the notice period.

3. Class absence for Solo Classes

3.1 - If a student is unable to attend a class we request 48 hours notice. Any cancellation or absence after this will still require full payment.
Where 48 hours or more notice is given the class may be rescheduled to an alternative date and time. It is not possible for credit classes to be transferred to the following term. No deductions on future invoices will be given in the event the class is not rescheduled. 

3.2 - Students are required to arrive promptly for classes. Clients should provide tutors with notice if a student is running late. Tutors reserve the right to cancel a class if a student is more than 15 minutes late.  This class will not be rescheduled or refunded.

3.3 - Should a tutor need to cancel a class a cover tutor will be provided or an alternative date will be arranged. If neither of these options are possible the fee will be deducted from you next invoice

4. Class absence for Group Classes

4.1 - All absences must be paid for. No credit can be rolled into the next term. If a student is unable to attend and sufficient notice has been given, they will be offered an alternative group class on a different day in the week or the following week.
If a student is unable to attend the alternative group class but wish to organise an additional catch-up session, the catch-up session will be a 30-minute solo slot and will incur the additional charge of a solo class. The Director JE will arrange this class with the client.

4.2 - Should a tutor need to cancel a class a cover tutor will be provided.

4.3 - Students are required to arrive promptly for classes. Notice should be provided to the tutor if a student is running late. Tutors reserve the right to refuse entry to a student who arrives 15 minutes after the class start time. This class will not be rescheduled or credited for the next term.

5. Group class capacity

5.1 - Wren Tuition reserves the right to add students to group classes at any point in the term. Group classes are capped at 4-5. To facilitate ad hoc class rescheduling, Wren Tuition reserves the right to increase class sizes to 5-6 students under exceptional circumstances.

6. Learning Conditions

6.1 - Students should be in a quiet, well-lit room. Space will be required to sit and make notes with space to stand and deliver individual pieces.  

6.2 - Students under the age of 18 are required to undertake their lesson in a communal space. The space should be of a standard and suitability as if the classes were taken in person. Students should not undertake classes whilst in bed.

6.3 - Students should not undertake classes whilst in a vehicle or in transit. Tutor’s reserve the right to cancel the class if they feel the learning conditions of the student are not suitable to con If the tutors feels the learning conditions of the session are not adequate for the session they have planned, they reserve the right to cancel the class and this will not be rescheduled or refunded.

6.4 - Students must have their camera on at all times during the class and must be visible from the waist up. If the student cannot be seen or heard on the camera, tutors reserve the right to ask the student not to participate in the class.

6.4 - If a student has poor internet connection, the tutor will not be able to make up the time missed during the class.

6.5 - If a tutor has poor internet connection, every effort will be made to make up the time within that class. If the problem persists the tutor will run a makeup session.

6.6 - Students should be appropriately dressed for class, pajamas or nightwear are not suitable.

6.7 - Wren Tuition requests that students only have the Zoom application open during the class, unless instructed by tutors to do otherwise. Browsing online, completing other tasks or email communications is not permitted during the class.

7. Recording

7.1 - Students are not permitted to record classes under any circumstances. If a parent or guardian of a student wishes to record a class, they should ask permission from the tutor ahead of the class. Recordings should be deleted within 30 days and never shared with others. This applies only to solo classes.

7.2 - Group class recording is strictly prohibited.

7.3 - Tutors will never record or screenshot a group or solo class without prior permission from the students or associated parent or guardian.

7.4 - Wren Tuition Director JE may record classes for quality control purposes. These will not be shared or distributed without consent.

8. Communication

8.1 - Student or clients must not contact tutors directly. All communication must go through Wren Tuition Director JE.  This includes notification of student absences.

8.2 - All staff of Wren Tuition will communicate with students and clients with respect at all times. Wren Tuition expects that students and clients communicate equally respectfully.

8.3 - All queries should be directed to Wren Tuition Director JE. JE is contactable by phone, WhatsApp or email. Standard working hours are Monday-Friday 8am – 5pm, JE will endeavor to reply at the earliest convenient time. Please note due to teaching commitments, JE has flexible working hours and there may be a delay in response times on some occasions. Communications will not be responded between the hours of 6pm to 8am each day. Sunday is a non working day.

8.4 - Sharing social media account information between students or tutors is strictly prohibited. 

8.5 - Private chat to other students on Zoom chat is strictly prohibited for both students and tutors.

8.6 - Parents or Guardians will remain in copy of all tutor email communications with students. Documents shared by Wren Tuition will be shared with students and parent or guardians.

9. Grade Skipping

9.1 - Exam grades are determined by Wren Tuition Director JE and the tutor. Exam grades will only be changed if both above outlined parties feel this is in the best interest of the student.

9.2 - Under no circumstances can a student, parent or guardian dictate the exam grade that classes will be undertaken for.

9.3 - Discussions regarding a students grade will take place in a meeting with Wren Tuition Director JE. Where a student is under 18 a parent or guardian must be present.

10. Exam Entries and Fees

10.1 - Wren Tuition will not enter students for their exams. The responsibility for exam entry lies with the student or their parent or guardian. Wren Tuition will provide guidance on how to do this, along with a recommended date for the exam.

10.2 - Students or clients must NOT book an exam BEFORE the recommended date. Wren Tuition can not guarantee any student will be ready to sit an exam in the instance that they are booked for an exam prior to the recommended date.  

10.3 - Students or their parent/guardian are responsible for informing Wren Tuition of the confirmed exam date once it is booked.

10.4 - LAMDA sets the exam fees – Wren Tuition has no responsibility or control over the exam fee changes or increases. Exam fees can be paid for in full upon booking.

11. Safeguarding

11.1 - All tutors and cover tutors will have an enhanced DBS check that can be requested to be seen by a parent or guardian at any time.

11.2 - Tutors will raise any safeguarding concerns to JE, who will follow Wren Tuition’s safeguarding procedure.
